Privacy Policy

Plain language on what we collect when you visit notics.io or request a prototype, why we collect it, and what you can ask us to do with it.

Who this covers

This policy applies to information notics ("notics," "we," "us") collects through this website and through the conversations that follow a prototype request. It covers visitors, prospective clients, and anyone who contacts us.

It does not govern the systems we build and operate for clients. Data inside a client's notics system — including any protected health information (PHI) — belongs to that client and is handled under our agreement with them, including a business associate agreement (BAA) where HIPAA applies. If you're a patient of a practice that uses notics, please contact that practice about your records.

What we collect

Information you give us

When you request a free prototype, we ask for:

  • Your name, work email, company, and role.
  • Details about your organization — size, number of providers, specialty, the EMR and other tools you use, and the problems you'd like solved.
  • The time you pick for your call, and your time zone.

Please don't include patient information or other PHI in the form or in emails to us. We don't need it to build a prototype.

Information collected automatically

  • Basic technical data your browser sends, such as IP address, browser and device type, the page that referred you, and pages you view.
  • Usage data from our product analytics tool, described in Cookies & analytics.

How we use it

  • To schedule your call, send the calendar invite, and prepare your prototype.
  • To follow up about your request and, if you become a client, about your subscription.
  • To understand how visitors use the site so we can improve it.
  • To keep the site secure, prevent abuse, and meet legal obligations.

We do not sell your personal information, and we do not share it for targeted advertising.

Who we share it with

We share information only with service providers that help us run the site and our business, under agreements that limit their use of it to providing those services:

  • Cloudflare — website hosting, database, and email delivery.
  • Google — calendar scheduling and video meetings for your call.
  • PostHog — product analytics.

We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of assets — in which case this policy will continue to apply to the information transferred.

Cookies & analytics

We use PostHog to understand how people find and use the site — which pages are viewed, how long visitors stay, and where they leave. PostHog may also record sessions — clicks, scrolls, and page interactions — so we can see where the site is confusing; text typed into form fields is masked in those recordings. PostHog stores a small identifier in a cookie or your browser's local storage so visits can be counted accurately. We don't use advertising cookies or cross-site tracking pixels.

You can block or clear cookies in your browser settings, or use a content blocker. The site will still work if you do.

How long we keep it

We keep prototype request information for as long as it's useful for the relationship — while we're talking with you, and afterward for a reasonable period in case you come back to us. If you become a client, we keep it for the life of the relationship and as required for our business records. You can ask us to delete it at any time.

Security

Our site and data are hosted in the United States. We use encryption in transit, access controls, and the same operational discipline we've applied to healthcare clients' infrastructure for a decade. No system is perfectly secure, but we work hard to protect what you share with us.

Your choices & rights

You can ask us to:

  • Tell you what personal information we hold about you, and provide a copy.
  • Correct information that's inaccurate.
  • Delete your information.
  • Stop contacting you.

Depending on where you live, you may have additional rights under local law. We honor these requests regardless of your location. Email hello@notics.io and we'll respond within 30 days. We may need to verify your identity first, and we won't treat you differently for making a request.

Children

This site is for businesses. It isn't directed to children under 16, and we don't knowingly collect their personal information. If you believe a child has given us information, contact us and we'll delete it.

Changes to this policy

We may update this policy as our site and services change. When we do, we'll revise the effective date at the top of this page. If a change materially affects how we use information you've already given us, we'll let you know.
